Would you like us to remove your net before winter?

Cool Ponds net removals will occur between Thanksgiving and the second week of December. Net removals are $150 per hour includeing travel time to your location. You will be charged an additional $100 with your deposit if you select this option. The $100 will go toward your net removal.  *

Winter Pump Removal
 
In most cases, we recommend not running your water feature in the winter. This means that your pump should be removed for safe storage. 
 
If we are cleaning your pond as well, we will be cleaning your pond in September or October, and this is a little too early to take your pump out. You still need your pump to run your filters for another couple of months. We will schedule your pump removal the first week of December. You will be charged $150 per man hour, including travel time to your location, with no labor minimum. 
 
If we are removing your pump only (and performing no other fall service), there is a minimum labor charge of $150.
 
When we remove your pump from your water feature, we will leave it for you to store. Keep your pump in a bucket of water somewhere where it will not freeze. We do not provide the bucket.
Pond-free and Fountain Winter Pump Removal
 
If we are cleaning your pond-free as well as removing as your pump for winter, your pump will be removed as part of your cleaning.
 
If we are removing your pump only (and performing no other fall service), there is a minimum labor charge of $150.
 
When we remove your pump from your water feature, we will leave it for you to store. Keep your pump in a bucket of water somewhere where it will not freeze. We do not provide the bucket.

We will charge a $150 pump installation deposit in the spring when we schedule your pump replacement service. *
Do you already have netting materials?

Necessary materials for netting include: rebar stakes, plastic tubing, netting, and netting staples. If you have any of these materials from a previous year, please set them beside your pond so that we may use these. If these materials are not set out of us beforehand, you will be charged for new materials.

If you don't already have these materials, we will bring them for you. Average costs for these materials are between $75 - $150 depending on the size of your feature.

Would you like us to remove your net before winter?

We recommend removing your net before winter. We can provide this service for you. Net removals will occur between Thanksgiving and the second week of December.  We schedule net removals for the first week of December. You will be charged $150 per man hour, which includes travel time to your location. We will leave your netting and all netting materials for you to store for next season. If you choose this option, we will charge an additional $100 with your initial deposit. The $100 will go toward your net removal. When we remove your net we will fold it as best we can and place it in a trash bag.  Removing as many leaves as possible before we arrive is best. *

Important Service Information

Important: You do not need to be present during the cleaning. However, we will only add enough water back into the pond to reintroduce fish and add water treatments. You must finish refilling your pond. Please list any dates in the notes section below that you know you will be out of town and unavailable to refill the pond.

Cleaning Services Include the Following:
*Completely drain the water feature.
*Remove fish and place them in a holding tank during the cleaning.
*Remove most of the debris in the bottom of the water feature.
*Remove most of the algae from the water feature. The inside will most likely continue to have a green coating.
*Rinse filters and biomedia.
*Clean pump and reinstall.
*Trim back aquatic plant foliage if it has started to become dormant.
*Refill pond enough to reintroduce fish.
*Apply appropriate water treatments for the time of year for the total pond volume.
*Reintroduce fish.
*Install deicer and/or move your aerator if requested.

PLEASE NOTE:  Anytime fish are removed from a pond or distburbed in any way there in an inherent danger to them. Cool Ponds will do our best to keep them safe and reacclimate them to the pond in a gentle manner. Although fish loss is very rare, it does sometimes happen. Because we will not be refilling the pond and have no control over what happens when we leave the pond, Cool Ponds is not responsible for loss of fish. Again, this is a very rare occurance but we feel you should understand that it does happen.
Important: You do not need to be present during the cleaning. We will not fill your water feature back up after your cleaning - you are responsible for filling your feature when we are finished. 

Cleaning Services Include the Following:

*Remove most of the algae from the water feature. The inside will most likely continue to have a green coating.
*Clean pump and remove if requested.
*Trim back aquatic plant foliage if it has started to become dormant.
*Apply appropriate water treatments for the time of year for the total water feature volume.

Netting Services:
*Net your water feature with a "hoop style" structure to keep leaves from weighing down the net (see photo below).
*We will not cut back aquatic plants unless specifically requested. We will go around them as much as possible.
*The net will be installed to sustain normal conditions. Cool Ponds is not responsible for net maintenance in high winds, heavy snow, or other acts of nature. If such conditions occur, there will be additional charges for repair if requested.
*If net removal is requested, we will roll the netting materials and leave them for you. We recommend they be stored in the manner in which we leave them for easiest reuse.

Pricing
 
Pricing is as listed above. The time begins when we leave the previous location and ends when we leave your site. Water treatments will cost $50-$175 depending on the size of your pond. We will leave the remainder of the products for your use. If your water feature has excessive muck, debris, or water lilies that need to be removed, there may be additional refuse removal fees. Your tech will discuss this with you before proceeding. We cannot give you an estimate of the cost or the total cleaning before we begin. 
 
To clarify, you will be charged for travel time to your location. We try to schedule service by geographical area to reduce the travel charge to you.
Additional Distance Fees
 
We perform cleaning services on water features within 50 miles of our business location at 901 E Hanna Ave, Indianapolis, Indiana.  However, water features located farther than 25 miles (driving distance) from our location will incur an additional distance fee. 
 
25 - 50 miles $75 additional fee
 
Please note: if we installed your water feature, and you are located farther than 50 miles from us, we WILL clean your water feature, but there will be a per mile charge of $1.25 plus the $75 additional distance fee (for any miles over 50). We are sorry but this is for original water feature owners only. We no longer install projects more than 50 miles away fron our location.
Water Treatments
 
We use natural products that are safe for both aquatic and domestic animals. To ensure the safety of your water feature, the life living in and around it, and the environment, we will use only our products that we bring to your home. Please do not ask us to use products you already have as it is against our policy.
 
Cleaning Procedures
 
During the cleaning, we will completely drain your pond in order to remove most of the sludge accumulation at the bottom. We will drain this water into your yard or garden bed. The water from your feature is great fertilizer for your plants. We cannot legally dump water into storm drains or neighboring property. 
 
We use a high-pressure nozzle on a garden hose. We use our own garden house, but we will need access to your hose spigot. We never use a pressure washer, as this strips important biological life from your water feature.
 
IMPORTANT: At the completion of your cleaning we will only fill your water feature enough to reintroduce fish (if applicable). You are responsible for filling the feature the rest of the way. For pond-free waterfalls, we will only fill your water feature if requested below.
Would you like Cool Ponds to stay to fill your water feature? Please keep in mind that you will be paying $150 per man hour for us to fill your water feature. We highly recommend that you fill your feature yourself. *
Pond Appearance
 
Our goal in your pond cleaning is to remove the algae and debris that can cause maintenance problems throughout the year.
 
Please do not expect the structure of the pond to look any different than it did before we started. We will not move or adjust any rocks or features in the water feature.
 
We want to educate you on keeping your water feature looking great throughout the year. The water treatments we leave for you are meant for you to use on a weekly basis throughout the year. We recommend strongly that you do so.
 
Foaming and cloudiness directly after cleaning is common. Your water will clear within 24 - 48 hours. 
 
We guarantee your water feature will be clean at the time of our service. It is your responsibility to maintain it after we leave. An annual cleaning is not a substitute for regular, preventative maintenance. We encourage you to speak with the tech cleaning your feature or any one of our staff members if you need guidance on proper routine maintenance.
 
General Provisions:
 
Cool Ponds will always use the utmost care when providing any type of maintenance or service to your water feature. During your pond service, we will only provide the work which is indicated above. Any prior conditions of your water feature are excluded in the service we provide.
 
During the cleaning of your water feature, we will likely step into your feature. Unless we installed the feature, we have no control over what type of liner was used. We will not be held liable for any punctures, tears, or other injuries to your pond liner. If you have a quality 45 mil EPDM liner and protective underlayment, the likelihood of any damage to the liner is extremely low.
 
Any issues with the maintenance/service which we provide for you must be reported within 2 business days of the service. Otherwise, a service fee will be charged for the correction of the situation. 
 
Cool Ponds does not provide any electrical service, repair, or maintenance. Because we cannot control pond conditions prior to our arrival, any loss of aquatic life, damage to equipment or other unforeseen issues are not the responsibility of Cool Ponds. Because we hope to maintain your business for the long run, we will take every precaution available to avoid these situations.

Authorization and Payment Information

There is a minimum labor charge of $300 or $150 depending on the services you chose above plus materials and supplies for all services.
 
A non-refundable deposit equal to the minimum labor charge as described above is due with this form and must be made by credit card. This deposit will be deducted from your final invoice.
 
If you have chosen multiple services, you may be charged multiple deposits. For example, if you chose a fall cleaning and a winter pump removal, you will be charged a $300 deposit for the cleaning and a $150 deposit for the pump removal for a total of $450.
 
You will be emailed a final invoice a few days after your cleaning. You will have 10 days from the date of the invoice to provide an alternate form of payment or we will simply use your credit card provided with your deposit for payment of the invoice on the 10th day.
 
Upon service completion, a final invoice will be emailed to you.
Please contact us if you do not receive it.
If we are ONLY performing a winter pump removal service, the minimum labor charge is $150. A $150 non-refundable depsoit is due with this form and must be made by credit card. 
 
The $150 deposit is one man hour of labor. If your pump removal service goes over this hour, you will be billed $150 per man hour.
 
Spring replacement is NOT included in this fee. If you have requested us to contact you in the spring, we will do so in early January or February and will collect an additional $150 fee to replace your pump back into your water feature.
 
Agreement
I authorize the work as described on this document to be completed by Cool Ponds. I have read and understand the information listed above and agree to the terms as listed. I also understand that the credit card I have entered on this form will be charged a deposit equal to the minimum labor charge for the service which I have selected when this contract is received by Cool Ponds and that the balance of my invoice will be charged to that card 10 days after the date of my final invoice unless other payment arrangements are made. Unless otherwise notified by Cool Ponds, this agreement will be valid for all future maintenance services as well unless there are changes to pricing and/or stipulations.
