Important Service Information

Important: You do not need to be present during the cleaning. However, we will only add enough water back into the pond to reintroduce fish and add water treatments. You must finish refilling your pond. Please list any dates in the notes section below that you know you will be out of town and unavailable to refill the pond.

Cleaning Services Include the Following:
*Completely drain the water feature.
*Remove fish and place them in a holding tank during the cleaning.
*Remove most of the debis in the bottom of the water feature.
*Remove most of the algae from the water feature. The inside will most likely continue to have a green coating.
*Rinse filters and biomedia.
*Clean pump and remove if requested.
*Trim back aquatic plant foliage if it has started to become dormant.
*Refill pond enough to reintroduce fish.
*Apply appropriate water treatments for the time of year for the total pond volume.
*Reintroduce fish.
*Install deicer and/or move your aerator if requested.

Netting Services:
*Net your water feature with a "hoop style" structure to keep leaves from weighing down the net (see photo below).
*We will not cut back aquatic plants unless specifically requested. We will go around them as much as possible.
*The net will be installed to sustain normal conditions. Cool Ponds is not responsible for net maintenance in high winds, heavy snow, or other acts of nature. If such conditions occur, there will be additional charges for repair if requested.
*If net removal is requested, we will roll the netting materials and leave them for you. We recommend they be stored in the manner in which we leave them for easiest reuse.

Service Dates

Upon completion of this form, we will contact you in 1 - 2 business days to let you know when your service is scheduled. 
Water Feature Cleanings
We do not perform cleanings later than October. For cleanings after October, it will be necessary for us to  schedule your water feature cleaning for spring. Spring cleanings are performed March through May.
Although having a net over your water feature isn't an ideal way for you to enjoy your water feature, we highly recommend installing a net before leaves begin to drop. We will schedule accordingly. This means your net may be up several weeks before leaves drop. 
Net removals are completed the first week of December.
Pump Removals
For pond owners -- we suggest waiting until the first week of Decmeber to remove your pump so your filter has as much time as possible in the season to keep your pond clean. If you are requesting multiple services from us, we will break your service into two visits: the first visit in either September or October we will net / clean your pond, and we will schedule a second visit in the first week of December. You will only be responsible for a single service deposit. 

Pricing is as listed above. The time begins when we leave the previous location and ends when we leave your site. Water treatments will cost $50-$175 depending on the size of your pond. We will leave the remainder of the products for your use. If your water feature has excessive muck, debris, or water lilies that need to be removed, there may be additional refuge removal fees. Your tech will discuss this with you before proceeding. We cannot give you an estimate of the cost or the total cleaning before we begin. 
Additonal distance fees: We will perform maintenance services on water features within 100 miles of our business location at 901 E Hanna Ave, Indianapolis, Indiana. We strive to plan other service calls within the additional service area to reduce or eliminate any addtional service fees. However sometimes this is not possible.
Service locations that are more than 50 miles but less than 75 miles away from our location will incur an additional $100 service fee.
Service locations that are between 75 and 100 miles from our location will incur an additonal $200 service fee. 
Water Treatments
We use natural products that are safe for both aquatic and domestic animals. To ensure the safety of your water feature, the life living in and around it, and the environment, we will use only our products that we bring to your home. Please do not ask us to use products you already have as it is against our policy.
Cleaning Tasks
During the cleaning, we will completely drain your pond in order to remove most of the sludge accumulation at the bottom. We will only refill the pond enough to add water treatments and reacclimate the fish. It will be your responsibility to fill the pond completely.
Pond Appearance
Our goal in your pond cleaning is to remove the algae and debris that can cause maintenance problems throughout the year. Please do not expect the structure of the pond to look any different than it did before we started. We will not move or adjust any rocks or features in the pond.  It is also your responsibility to continue to use the water treatments as recommended to maintain the clean appearance of your water feature. We guarantee it will be clean at the time of service. It is your responsibility to maintain it after we leave.
General Provisions:
Cool Ponds will always use the utmost care when providing any type of maintenance or service to your water feature. During your pond service, we will only provide the work which is indicated above. Any prior conditions of your water feature are excluded in the service we provide.
During the cleaning of your water feature, we will likely step into your feature. Unless we installed the feature, we have no control over what type of liner was used. We will not be held liable for any punctures, tears, or other injuries to your pond liner. If you have a quality 45 mil EPDM liner and protective underlayment, the likelihood of any damage to the liner is extremely low. Any issues with the maintenance/service which we provide for you must be reported within 2 business days of the service. Otherwise, a service fee will be charged for the correction of the situation. 
Cool Ponds does not provide any electrical service, repair, or maintenance. Because we cannot control pond conditions prior to our arrival, any loss of aquatic life, damage to equipment or other unforeseen issues are not the responsibility of Cool Ponds. Becasue we hope to maintain your business for the long run, we will take every precaution available to avoid these situations.
Once we receive your request and deposit, we will contact you about scheduling your service.  All services are scheduled on a first come, first served basis.
There is a minimum charge of $200 plus materials and supplies for all services.
A $200 non-refundable deposit is due with this contract and must be made by credit card. This deposit will be deducted from your final invoice.
You will be emailed a final invoice a few days after your cleaning. You will have 10 days from the date of the invoice to provide an alternate form of payment or we will simply use your credit card provided with your deposit for payment of the invoice on the 10th day.
Upon service completion, a final invoice will be emailed to you. Please contact us if you do not receive it.

Authorization and Payment Information

I authorize the work as described on this document to be completed by Cool Ponds. I have read and understand the information listed above and agree to the terms as listed. I also understand that my credit card as listed on this form will be charged a $200 deposit when this contract is received by Cool Ponds and that the balance of my invoice will be charged to that card 10 days after the date of my final invoice unless other payment arrangements are made. Unless otherwise notified by Cool Ponds, this agreement will be valid for all future maintenance services as well. (In other words, you only have to fill this form out once and it will cover all future cleanings also.)
