If this is the first time you have requested a water feature cleaning from Cool Ponds, then welcome!  (If we have cleaned your water feature for you previously, use this form instead.)
 
Once you have submitted this form, we will contact you to schedule a meeting at your home to view your water feature and ask you some questions about its history. We will give you a broad estimate of how many hours we anticipate the cleaning will be -- this is not guaranteed however.  Until the pond is drained, we never know exactly what we are in for.  We will also be able to check things over to make sure there are no surprises when we "dive in" for your cleaning.

Winter Pump Removal -- If you are requesting a cleaning and winter pump removal, we will clean your pond in September or October.  This is, however, too early in the season to remove your pump. The pump will still need to run your filters. We will schedule your pump removal between Thanksgiving and the second week of December.  If your water feature is a pond-free waterfall, we can remove your pump at the time of your cleaning if requested -- your choice.
 
When we remove your pump, we will leave it for you to store. We reccommend keeping it in a bucket of water (distilled preferably) somewhere that it will not freeze. We do not provide the bucket.
Would you like us to remove your net before winter?

Cool Ponds will remove your net sometime between Thanksgiving and the second week of December. *

Please understand that this request form is for cleaning, netting and pump removal services only. We will not diagnose leaks, move any rocks, or adjust the structure of the water feature in any way during this service.  If you need a leak diagnosis or repair, please do not submit this form.  Email Service@CoolPonds.Net and explain the service your water feature requires first.

Pricing

All services are provided at the rate of $150 per man hour labor plus the price of any materials used.  Time starts when we leave the previous location and ends when we complete your service.
 
For example: Two techs working from 1:00pm to 3:00pm would be $600 (2 hours x 2 techs x $150)
 
We schedule our sevices by geographic location in an effort to minimize travel time for you. 
 
There are minimum charges for services. They are as follows:
 
Water Feature Cleaning Minimum $300
Water Feature Netting Minimum $300
Water Feature Cleaning and Netting Minimum $300 (if done on the same visit)
Pump Removal Minimum $150
Net Removal Minimum $100
Pump Removal and Net Removal Minimum $150 (if done on the same visit)
 
Water treatments for ponds will cost $65 to $200 depending on the size of your pond. We will leave the remainder of the products for your use.  (For most ponds we service, the price of water treatments is $65). 
 
When submitting this form, we will charge the minimum for each service you have chosen as your deposit.  For example, if you chose a water feature cleaning, netting, pump removal, and net removal, your deposit would be $300 + $150 = $450.  Your deposit will be credited to your final invoice or each invoice if applicable.  Special notice: if during our intial visit with you it is determined your water feature's cleaning will be above the average hours normally used to clean a typical water feature, you may be required to pay an additional deposit.  If this occurs, you will be invoiced for the additional deposit separately.  Your cleaning will be scheduled once the additonal deposit is paid. All deposits paid will be deducted from your final invoice.
Additional Distance Fees
 
We perform cleaning services within a 50 mile radius of our business location at 901 E Hanna Ave, Indianapolis. Water features between 25 and 50 miles from our location will incur an additional distance fee of $75. We do not clean water features that are farther than 50 miles from our location unless we installed the water feature and you are the original owner. For water features we installed that are farther than 50 miles from our location, in addtion to the $75 distance fee there is a per mile charge of $1.25 per mile for each mile over 50. (One way.)
 
Summary of Distance Fees
0-25 Miles -- $0 distance fee
26-50 Miles -- $75 distance fee
50 Miles or more -- (for our installs to the original owner) $75 plus $1.25/mile over 50 miles
 
Excessive Debris
If your water feature has excessive muck, debris or water lilies that need to be removed, there could be additional charges for refuse removal.  We will alert you to the possilibity if it arrises.
 
Late Payments
Final payments are due within 10 days of receipt of your invoice.  Any balance past due will incur a late payment fee of $25 plus finance charges of 1.5% per month.

Service Information

You do not need to be home during our cleaning service as long as 1.) we have access to a working water spigot and electrical outlet; and 2.) you will be able to complete the filling of the water feature later that day or evening.  
 
We will compile our service schedule in early September. Our normal fall cleaning schedule is late September through mid October.  Due to the unpredictable nature of our weather, we will adjust those days if the temperatures are still too warm for successful cleaning.  We will schedule our cleanings on a first come, first serve basis.  However, we will also schedule by geographic area in order to minimize our travel charges to you.
 
Once we have your water feature service scheduled, we will email you with your service date.  We will do our best to keep this schedule. However there is always a slight chance our schedule will change due to weather, features that need excessive cleaning time, labor issues, etc.  For this reason, we highly recommend you DO NOT schedule a day off work for our service.  We do our very best to keep the original schedule but unfortunately, we cannot guarantee any service date.
Cleaning Procedures
During the cleaning, we will completely drain your water feature in order to remove most of the sludge accumulation at the bottom. We will drain the water into your yard or garden bed. We cannot legally drain water into storm drains or a neighboring property. 
 
We use a high-pressure nozzle on a garden hose. We use our own garden hose, but we will need access to your hose spigot. We never use a power washer, as this strips important biological life from your pond. The rocks in your water feature will likely continue to have a green color or coating to them after the cleaning -- this is good. 
 
We will also need access to a working outlet for our clean-out pumps during the service.
Netting Services:
If you have chosen our netting service, we will net your water feature with a "hoop style" structure to prevent leaves from weighing down your net. No aquatic plants will be trimmed back for the net unless specifically requested.  We will go around plants as much as possible. The net will be installed to sustain normal conditions. Cool Ponds is not responsible for net maintenance in high winds, heavy snow, or other acts of nature. If such conditions occur, there will be additional charges for repair if requested. 
 
If net removal is requested, we will fold or roll the net and place in a bag for you to store. To expidite our time removing your net, we recommend you remove as many leaves from on and around the net with a leaf blower before we arrive. If you would like to leave a large storage tote for us to place the net in, that is a great way to store it for longevity.
Water Treatments
We use natural products that are safe for both aquatic and domestic animals in ponds. To ensure the safety of your water feature, the life living in and around it, and the environment, we will use only our products.  Please do not ask us to use products that you already have as it is against our policy. We will bring the necessary products to use during yor pond cleaning.
Water Features With Fish
Anytime fish are removed from a pond there is an inherent risk to them. We will do everything in our power to minimize stress to your fish including but not limited to aeration of the holding tank, sanitizing the holding tank and our equipment, netting the holding tank, and minimizing water temperature differences during reacclimation of the fish. We will treat your pond with enough dechlorinator for it's entire volume. 
 
Because fish may become stressed and the fact that we will not be refilling the pond to it's maximum volume, we are not responsible for loss of fish during or after the cleaning. We will take every precaution possible and care for your pond as if it were our own. Fish loss does not occur very often, but it can happen.
Pond Appearance
Foaming and cloudiness directly after a cleaning is common. Your water should clear within 24 hours. Please contact us if it does not.
 
We will apply the intial doses and leave the remainder of the maintenance products for you to use after your cleaning. We recommend you use these products weekly until the water is below 50 degrees. These products will work to keep your water clear, free of string algae, and help prevent muck build up in the bottom of the pond.
 
An annual cleaning is not a substitue for regular, preventative maintenance. 
 
We guarantee you water feature will be clean at the time of our service. It is your responsibility to maintain it after we leave. We encourage you to speak with the tech cleaning your feature or any one of our staff memebers if you need guidance on proper routine maintenance.
IMPORTANT: We will not fill the water feature completely.
At the completion of your cleaning, we will only fill your water feature enough to reintroduce fish (if applicable). You are responsible for filling the feature the rest of the way. For pond-free waterfalls, we will only fill your water feature if requested below.
 
WE RECOMMEND SETTING A TIMER WHILE FILLING THE POND. OVERFILLING CAN LEAD TO CHLORINATED WATER AND FISH DEATH.
 
Your pond will be treated for chlorine for the entire volume of the pond. You will just need to complete filling the pond and plug in the pump. Please do not overfill the pond.

General Stipulations
Cool Ponds does not provide any electrical service or repairs. We cannot control pond conditions prior to our arrival. Any loss of aquatic life or damage to equipment or other unforseen issues are not the resposibility of Cool Ponds. Because we care about your water feature and hope to maintain your business for a long time, we will take every precaution to protect your water feature, the life living in your water feature, and your yard in general.
 
During your service, we will step into your water feature. If you water feature was installed with industry standard 45 mil EPDM liner, and protective underlayment, the liklihood of any damage to the liner is extremely low. We are not resposnsible for the type of liner or the condition of your liner. If you do not want us to step into your water feature, please let us know in the Special Requests section of this form. 
 
If there are any issues with the services we provide, you must contact us within 2 business days.

Authorization and Payment Information

Within one to three business days of submission of this form, we will charge your credit card listed a deposit equal to the minimum of each service you requested.
 
Upon completion of each of your services, a final invoice will be emailed to you.
Payment will be due 10 days after your invoice is emailed.
If you do not receive an invoice within 5 days of your service, please email info@CoolPonds.Net
 
Your credit card listed on this form will be charged any remaining amount due on your invoice (after your deposit is credited) 10 days after your invoice is emailed to you unless we receive a different form of payment. 
Agreement
I authorize the services I have chosen above to be compled by Cool Ponds. I have read and understand all the information listed above and agree to the terms as described. The credit card I have entered on the form will be charged a deposit equal to the minimum labor for each service I selected when I submit this form.
 
The balance of my final invoice will be charged to the card I have listed on this form 10 days after I receive my invoice unless other payment arrangements are made. The service invoice will be emailed to me 1-5 days after my service date unless other arrangements have been made. If I do not receive an invoice 5 days after my service I will contact Cool Ponds at info@coolponds.net.
 
This agreement will be valid for all future maintenance services unless there are changes to pricing and/or stipulations. I also agree that this electroic agreement is the same as handwritten signatures for the purposes of validity.
