Please review the information and application carefully as many of your questions will be answered and there are file attachment requirements.  We strongly encourage applicants to compile all information and format files ahead of application completion to simplfy the process.

ABOUT THE ARTS BARN

The Arts Barn is Gaithersburg’s home for the performing and visual arts. Housed in a Victorian-era stable, the Arts Barn features a lively performing arts program including film, dance, music, theater, comedy, and magic, as well as showcasing local artists in special events, the City Art shop, and the rotating exhibitions in the Gallery. The Arts Barn is a program of the City of Gaithersburg.

ABOUT THE EVENT

The City Shop, a program run by The City of Gaithersburg at Arts Barn, is pleased to offer the Here Come the Holidays Artisan Market on Sunday, November 17, 2024 at the Arts Barn, located at 311 Kent Square Road, Gaithersburg, Maryland 20878. This is an opportunity for the community to not only buy a one of a kind original handmade items made by local artists but also meet with the artists and understand the their processes that went behind the creation of the work. The Artisan Market will be held indoors, on the first floor of the Arts Barn.

IMPORTANT INFORMATION

• It is free to apply to be considered for the artisan market.  Space is limited and not all applicants may be invited to participate in the event.

• For accepted vendors, the Registration Fee for an indoor space will be $35 per table.  

• Accepted/selected vendors will receive the vendor agreement as part of their invitation email.  A copy of the agreement is availalbe for review upon request.

• The agreement and vendor fee must be submitted by accepted/selected vendors by the due date listed below in order to reserve a vendor spot and is NON-REFUNDABLE.  If the paperwork and fees are not received by this date, the space will be forfeited and given to another vendor on the waitlist.

• All artwork must be original and created by the artist.  Artwork created through Artificial Intelligence (AI) is not permitted at this event.

• Artist must handle their own sales (cash, credit card, and check), collect and pay sales tax to the State of Maryland.

• Artists must bring their own packaging materials.

• The City of Gaithersburg is NOT responsible for damage or loss for any items on facility premises. Artist should insure or self-insure their work and equipment. 

• No personal signs may be erected outside of your vendor area.

• WiFi and electricity are not guaranteed, please plan accordingly.

Artist will be provided a table that is sized: 6’ x 2.5’. All items must fit on or directly adjacent to the 6’ x 2.5’ table area provided.  Two chairs will also be provided.  Artists will be located on the first floor and spaces are limited.  

      • Displays higher than 18" on the table are not permitted to ensure safety.   
      • Please bring and use a solid black tablecloth for your table.

• All selected artists will need to provide either a copy of their Maryland Sales and Use Tax Certificate by the date listed below or wlll have their contact information submitted to the State of Maryland for the issuance of a 30-Day Temporary Sales Tax License.  Please allow sufficient time to get your materials from the State of Maryland, as necessary.

Application Due: Friday, August 30, 2024

• Notification of Selection or Waitlist: Friday, September 20, 2024

Vendor Agreement Form and Fee Due: Friday, October 4, 2024

• Sales and Use Tax Verification Due: Friday, October 18, 2024

Date of Event: Sunday, November 17, 2024.

      • Merchandise set up: 8:30 a.m. – 9:45 a.m.  
      • Sales: 10:00 a.m. – 4:00 p.m.
      • Take down: 4 – 5:30 p.m.

• Artists are expected to arrive and leave on time and be onsite the entire time.

LOCATION, DELIVERY/PICKUP AND PARKING

The Arts Barn is located at 311 Kent Square Road, Gaithersburg, MD 20878. Vendors will unload and load items near the door to the building. There is ample parking along Inspiration Lane.

MARKETING

The City of Gaithersburg will promote this event, but participating artists are urged to advertise on their respective websites, social media and via email to broaden the audience reach

FOR ARTISTS THAT ARE MINORS
We welcome young artists that are fourteen (14) years of age and older to be part of our market, but we require for artists under 18 years old that a parent/guardian be responsible for signing their application, paperwork and be present with them during the market event. Minors must be represented by an adult and may not be unaccompanied. 
 
Please note: This is a professional market and a young artist's age will not be a factor in considering their artwork for the market, they will be reviewed with the same criteria as an adult artist for professional and technical skills and quality aspects.

All complete applications will be reviewed and not all artists may be selected, as space is limited. Your participation is not guaranteed.

Vendor Location/Fee:

If I am accepted as a vendor during the application review, I understand that I will owe the following fee at the time of notification in order to reserve my spot.  This fee is non-refundable. *
I have a Maryland Sales and Use Tax License: *
If you do not have a permanent Maryland Sales and Use Tax License and if you are accepted to participate in our market, upon receipt of your agreement and fee, your contact information will be submitted to the State of Maryland as part of our list of event vendors.  They will issue a 30-day temporary license to you and you are required to have it present at the event and collect and submit sales tax to the State of Maryland.
 
This is NOT the same as income tax, this is sales tax that is collected with each sale and must be submitted to the state as required.  If you have any questions about collecting and remitting sales tax, please contact the Maryland Comptroller's office for more information.  
 
The City of Gaithersburg is not responsible for collecting or remitting sales tax on your behalf.

PRICING
OTHER ARTIST INFORMATION

The VENDOR agrees to abide by the following terms:

1. CITY resolution R-73-05 hereto included which establishes policy and setting forth standards for participation in CITY sponsored and sanctioned events. A copy of this resolution is available upon request.

2. The CITY reserves the right to cancel, postpone or delay the event.

3. The VENDOR agrees to allow the CITY to take and/use photographs, video and/or recordings of the artist’s work for promotional purposes in print or televised advertisements, brochures, postcards, fliers, CITY website and other marketing media.

4. VENDOR shall be sensitive to the heritage and culture of others and shall not engage in lewd, obscene, inflammatory, or violent language or behavior; shall not intentionally engage in conduct so as to defame persons on the basis of age, race, religion, or sexual orientation.

5. No one affiliated with the CITY in any type of work activity is permitted to consume alcohol while working at a CITY function. VENDORS and all their associated staff must be alcohol and drug free prior to and during the event.

6. The VENDOR shall indemnify and hold the CITY harmless for any personal injury or property damage resulting from the actions of the VENDOR, its employees, agents, or participants. The CITY assumes no liability whatsoever for the safety of the VENDOR, or its employees or agents, or for the participants in the VENDOR’s activity described herein.

7. The VENDOR must, without additional cost to the CITY, pay any necessary fees and charges, obtain any necessary licenses and permits, and comply with the applicable federal, state and local laws, codes and regulations.
