BLACK GIRL SOUL ADVENTURE

Thank you Sistah for your interest in our Black Girl Soul Adventure! We appreciate your interest in booking with us as we know there are a lot of other companies you can book with.

To ensure that you do not miss any booking details, please review the statements below. 

1. Black Girls On The Go, . Black Girl Soul Adventures are for current Facebook members or "confirmed" members of our Black Girls On The Go, membership program. Members of our membership program are confirmed once they receive a confirmation email from Black Girls On The Go. *
2. Black Girls On The Go, LLC has the right to refuse attendees' deposits for any reason. *
3. This trip does include international airfare. *
4. All payments made to Black Girls On The Go, or tour operators are non-refundable and non-transferable. Except as detailed below within the section titled 'Refund Policy'. *
5. Not all places have familiar standards of the Western world (customer service, service times, food variety, air conditioning, ice, straws, cold water, cultural, religious norms, transportation, facial towels, etc.). Black Girls On The Go, LLC encourages all guests to research the destination before the trip is booked so that each guest is well aware of the conditions of where we are traveling. *
6. During periods of the trip I may or may not be able to access wifi. And that sometimes the wifi signal can be spotty. Black Girls On The Go, LLC cannot guarantee working wifi or internet at any time during the trip. *
7. Double occupancy is a shared room with two beds. The double room bed type for this trip is two twin beds. Guest can pay an additional cost for single occupancy which is non shared room with one bed. After the deposit is paid, Black Girls On The Go, LLC will not accept any changes to room type. Hotel stay may require a security deposit for each room. Trip attendees are responsible for that deposit. The deposit is a hold that will be applied to your credit card and then released after check out. *
8. Any trip attendee who does not have a roommate at least 2 months before the trip departure date that Black Girls On The Go, LLC will assign them a roommate. *
9. Black Girls On The Go, LLC. will not reimburse any trip attendee if any part of the trip is missed for any reason. This includes but is not limited to late arrival due to flight delays, early departure, delayed airport transfers, etc. Black Girls On The Go, LLC will do our best to reschedule an activity given that rescheduling does not add any additional expenses to Black Girls On The Go, LLC. If Black Girls On The Go, LLC is unable to reschedule at no additional cost, there will be no reimbursement of any activity. *
10. Any airport transfers provided by Black Girls On The Go, LLC will be provided on the trip start date (5 am - 11 pm local time) and the final day (12 am - 11 am local time) of the trip. If the trip attendee arrives before the trip starts, arrive at the trip late, leave before the trip ends, arrives or departs outside of the said times, or stays longer than the trip last it is my responsibility to make my own lodging, local transport, and airport transportation. If Black Girls On The Go, LLC confirms that our driver is at the airport to pick the guest up, and the guest decides to book their own transport, there will be no reimbursement for airport transport given. In addition, Black Girls On The Go, LLC drivers will wait a MAX 30 minutes after the set transfer time/flight arrival time (if there are any delays) for participants to arrive at the pickup area. Our driver will leave after 30 minutes of waiting for the passenger. Black Girls On The Go, LLC. will not reimburse any participant who misses the pre-arranged transfer. *
11. All trip attendees must sign up for the customer portal to receive and pay invoices each month. Invoices are sent on the 5th of every month. Each trip attendee should alert Black Girls On The Go, LLC before the invoice due date for some reason they have not received an invoice. Black Girls On The Go, LLC will send (1) invoice a month. *
12. All trip attendees are required to submit flight and travel insurance information to Black Girls On The Go, LLC at least 6 weeks before the trip departure date. Black Girls On The Go, LLC will provide each trip attendee with a link to submit the requested information. Black Girls On The Go, LLC will not accept any information that was asked to be submitted via a link via email. Guest should submit their information taking into account possible submission issues. *
13. Black Girls On The Go, LLC trips are planned over a year in advance, and the initial itinerary provided is subject. Circumstances may arise where we must make changes. Whatever occurs Black Girls On The Go, LLC will do everything in our powers to ensure that the trip goes on as planned. These changes may result in shorter breaks between activities or changes of activity. An initial trip itinerary will be provided at least 10 weeks after the trip options for booking. *
14. Any trip-related questions or concerns that I have should be emailed to clients@bgotg.org AFTER I am confirmed as a trip attendee. Submitting a trip deposit is not a confirmation of trip attendance. Non confirmed trip attendees should continue to email customer@bgotg.org. *
15. It is trip attendees' responsibility to provide Black Girls On The Go, LLC with accurate contact information. Trip registration should be made in the name as it appears on the trip attendees' passport. *
16. Hotel Deposits. Black Girls On The Go, LLC covers the full price of each room; however, members may be asked for a credit card upon check-in for their room incidentals. Black Girls On The Go, LLC will alert members when providing the final trip itinerary deposit amount required by the hotel. *
17. Information Deadlines. All guests must submit all required trip information on time as requested by Black Girls On The Go, LLC. The guest's trip is subject to cancellation if the information is not received on time. All trip information is required based on the deadlines stated below in the "important deadline" section of this trip registration form. Black Girls On The Go, LLC will notify guests letting them know when any information is due and how to submit it. No special arrangements will be made if the guest misses deadlines. Trips will not be restated once canceled. *
18. Black Girls On The Go, LLC trips depart on time. Members will be provided with a final itinerary before the trip departure date. Black Girls On The Go, LLC will leave promptly at the time listed on the itinerary. Any guest not present at the time of departure is subject to be left behind. Black Girls On The Go, LLC will not reimburse anyone who misses an activity due to not arriving at the departure location on time. If there are any changes to the times of departure all guests will be notified in person or via Whatsapp. *
19. Black Girls On The Go, LLC prepays for airport transfers roughly 30 days before the trip based on arrival/departure times. Arrival flight delays are monitored by our transport companies who in turn are able to wait for any guest whose flight arrives late. In regards to departure times, our transport companies are not as flexible. Guest should note that no changes to departure times or counts will be made less than 2 weeks out from the trip or during the trip. If guest provides their flight information to Black Girls On The Go, LLC after it is requested (1 month before departure) guest will need to arrange their own arrival and departure transfer. If guest departure flight is delayed, the guest decides to take a different departure flight or make any other changes that cause a change in the departure time that was relayed to Black Girls On The Go, LLC a month before the trip; the guest can use the departure transfer provided by Black Girls On The Go, LLC at the time confirmed when providing the final itinerary or guest can arrange their own transfer at their own expense. *
20. Black Girls On The Go, LLC traveling trip payments are sent to customers on the 5th of each month. I understand that if I do not receive an email on the 5th of the month that it is my responsibility to notify Black Girls On The Go, LLC that an invoice was not received before the invoice due date of the 15th. I furthermore understand that I am still held to all trip payment due dates and cancellation terms if I decide not to alert Black Girls On The Go, LLC that an invoice was not received by the 5th of the month. *
21. Black Girls On The Go, LLC will provide the trip attendee with a link to upload important trip information (passport, flight, insurance, or visa). Any information sent for any reason (including technical) via email will not be accepted or reviewed and does not meet our submission standards. *
22. Black Girls On The Go, LLC will alert trip participants if a COVID-19 test is required before entry into the Country. In addition, to the cost of the test. The cost of the test or any required COVID-19 vaccination is not included in the trip cost. *

THINGS TO NOTE ABOUT TRAVELING WITH US.

FLEXIBILITY
The ideal traveler for Black Girls On The Go, LLC trips:
- someone who embodies patience and flexibility
- has a willingness to try new things
- has an appreciation and respect for diversity (e.g., people, customs, languages, religions)
- has a desire to learn, grow, evolve, is not a constant complainer, can engage with other trip goer's, can do a bit of research, and has an overall spirit of fun and adventure. ​

LOCAL CUSTOMS​
On our trips, we will interact with locals, work with them, and possibly be invited into their homes. We ask that attendees be respectful of local customs. Our cultural trips are focused on getting to know the people and are designed to be less touristy, which excludes significant tourist attractions.

PATIENCE
Black Girls On The Go, LLC will do our best to ensure that our trips run according to schedule. However, trip attendees should be aware that at times we run ahead or behind schedule. Attending our trips will require that participants are patient at times.
 
DIETARY RESTRICTIONS
Trip attendees should be aware that, unlike the US, many of the places we visit may not have a variety of meal options to cater to restricted diets. Strict dietary restrictions may result in minimal food options for those attendees who may be vegan.

FACEBOOK GROUP
Our company no longer creates trip Facebook groups.

PRE-TRIP COMMUNICATION
Our pre-trip communication is done via email only. Essential documents are uploaded to our customer portal for review per the timelines listed in the section below. Any trip questions can be emailed to tripsupport@sisterstravelingsolo.com.

ON-TRIP COMMUNICATION
Communication on the trip will be via WHATSAPP. All trip participants are asked to download the app before arrival into the country we are visiting.

INVOICING
Invoices are available on the 23rd of each month via the customer portal. Black Girls On The Go, LLC. does not provide invoices upon special request. Each customer will receive one (1) invoice per month on the 23rd of each month.

If a customer wants to pay off a trip, they should email Black Girls On The Go, LLC at hello@bgotg.org between the 1st and 23rd of each month. Black Girls On The Go, LLC will send out an invoice to pay off the remaining trip balance on or before the 8th of each month. Request to pay off trip invoice will only be accepted between the 1st and 5th of each month.

CUSTOMER PORTAL
After booking, all customers will be sent an email with a link to our customer portal. Customers must sign up for this customer portal to access and pay monthly invoices. Customers should bookmark the customer portal site for future reference.

All relevant trip documents will be uploaded to the customer portal as outlined in the critical trip document section of this trip registration form.

(1) Black Girls On The Go, LLC team member will host Soul Adventure.

Additional information:
Black Girls On The Go, LLC. has built solid relationships with vendors we have worked with in the past, some of which we know can provide the on-the-ground service that we need. For some of our Soul Adventures, the tour will be run by our local tour guide, and no Black Girls On The Go, LLC team member will be on them as we are 100% confident in the local team's ability to provide excellent service. Black Girls On The Go, LLC will be in daily contact with the local guide to ensure things are running smoothly and members will also be able to contact us if there are any issues while on the trip.

Trip Host Section of Form *

WHEN/ WHERE ARE YOU GOING?

After 24 hours of submitting your deposit, there will be no switching to another trip or another trip week for any reason. Reasons include but are not limited to: You selected the wrong week, your friend or family could not book the same week as you, etc.). Black Girls On The Go, LLC will not approve any request to switch to another trip or another week. Please ensure you are booking the right week.

TOTAL PRICING

Pay Remaining Balance over the monthly period (payments due on the 23rd of every month regardless of when the deposit is made) - Monthly payment is total trip cost minus trip deposit dividend by the number of payments. Payments are due on the 23rd of each month regardless of when the deposit is made.  Payments must be made on time.

Accommodations - 4 Star: Accommodation details provided (6) months before the trip departure date. 

7 days, 6 nights. Rooms will consist of one full or two twin beds based on occupancy.

Hotel Amenities Include: Air-conditioning, wireless internet, in-room safe, a satellite TV, minibar, and tea/coffee making facilities.  Twin beds may be close approximately to one another, but there will be two separate twin beds.

TRIP CANCELLATION TERMS

Trip Cancellation Due to Missed Payment: 

The trip will be automatically canceled after ONE missed payment. No refund of deposit or payments will be provided to a trip canceled due to missed payments. If the trip is canceled due to missed payments, the trip deposit cannot be applied to any future Black Girls On The Go, LLC trips. Attendees will be given a 3-day grace period after the 15th of the month to make their payment. If trip payment is not received by 11:59 pm EST on the 18th of the month, the trip will be automatically canceled.

 

Trip Cancellation Due to Missed Deadlines: 

The trip will be automatically canceled if required trip information is not provided by the deadlines provided. Black Girls On The Go, LLC will alert the trip attendee once their required information has not been submitted. Trip attendees will be required to submit the required trip information to avoid trip cancellation. The trip will be canceled after 24 hours if the requested information has not been received.

Trip Cancellation Terms *

TRIP REFUND POLICY

24-hour cancellation.  

The trip deposit will be refunded upon request 24 hours after the trip has been booked. After 24-hours of booking, no refunds of deposits will be given.

​Deposit Transfer to Another trip 

The trip deposit cannot be applied to another trip. Another trip includes the same trip itinerary that is offered on a different week than what was booked.

Deposit or Payment Transfer to Another Person

Trip deposits nor trip payments can be transferred to another person. 

Refund and Reimbursement Terms *

TRAVEL INSURANCE

Black Girls On The Go, LLC requires that all trip participants purchase travel insurance. The minimum coverage amount for travel insurance is $150,000. We highly encourage you to buy travel insurance as soon as possible in case you have to cancel your trip so that if you have to cancel, your travel insurance policy to seek reimbursement. 

  • The minimum coverage amount of $150,000 must include medical and evacuation. When adding the line item labeled medical in the travel insurance policy to the line item marked evacuation in the travel policy; that coverage amount must total at least $150,000
  • Black Girls On The Go, LLC does not provide recommendations on travel insurance carriers, and they all have different terms and policies. As a starting point in your search, we have provided articles that discuss travel insurance.

Insurance Submission Deadline:

All travel insurance information must be submitted to Black Girls On The Go, LLC at least (6) weeks before the trip departure date. Any participant who fails to provide their travel insurance information late is subject to complete trip cancellation without a refund.

(3) Months before the trip departure date, Black Girls On The Go, LLC will notify you via email of the steps to submit your travel insurance information. Travel insurance information sent via email will not be accepted. 

VISA

If the trip requires a Visa, please read below:

  • The trip Visa should be obtained before the trip departure date.
  • Black Girls On The Go, LLC does not assist in the process of getting a Visa. Use of our Black Girls On The Go, LLC is one option you can use to purchase your Visa. Technical issues and delivery questions should be sent directly to VisaHQ.

Visa Submission Deadline:

Black Girls On The Go, LLC will require proof of Visa at least (3) weeks before the trip departure date.  

(3) Months before the trip departure date, Black Girls On The Go, LLC will notify you via email of the steps to submit your Visa information. Visa information sent via email will not be accepted.     

PASSPORT

If this SOUL ADVENTURE requires your passport information, please read below:

  • Required passport information may be needed when you sign up or after.
  • Participate confirmed passport information is required at least (3) months before the trip departure date.
  • Black Girls On The Go, LLC will book a participate flight with the most recent passport information provided.
  • Participants will be responsible for any fees associated with provided Black Girls On The Go, LLC incorrect, wrong, or expired information.
