Join VA Pride as a vendor for VA Pridefest 2025 on Saturday, September 27th at our
new home at Midtown Green! (formally the Bon Secours Training Center)

VA Pridefest is one of the largest celebrations of the LGBTQ community in Virginia, drawing tens of thousands of attendees who enjoy more than 120 vendors, food, drinks, and world-class entertainment on two stages.  Vendors of all kinds are welcome, including retail, craft, small business, non-profit and faith-based groups.  Join us for a fun-filled, fabulous day of celebration and show your support for the LGBTQ community!  All vendor fees are used to ensure Pridefest is a free event that is open to all!

Please read this application carefully and fill it our completely. Incomplete applications will not be considered. 

Deadline for application is August 15, 2025. 

Note:  We typically sell out well before the deadline, so apply today!

 
 
Once your application AND payment have been submitted, and you have been accepted, our team will reach out to you. Once your application has been reviewed, you will receive an email from us explaining the next steps!  In the unlikely event that your application is not accepted, you will receive a full refund for your vendor fee.

Please read EVERYTHING and complete this application in its entirety, including payment submission. 
 
-Submitting an application DOES NOT guarantee acceptance into the festival.  Vendors will be notified on the status of their acceptance as applications are received. 
 
-Your application can not be officially accepted until your payment is submitted.  
 
-Check payments will no longer be accepted unless you are a corporate/government/private entity that requires invoicing to process payment.  Please select "Requires Invoicing" at payment for further processing.

Terms and Conditions

DEADLINES:
 
Timelines are very important to keep the city's required deadlines.  Please submit your paperwork as soon as possible. It is impertive that the following deadlines are kept.  
 
Friday, August 15, 2025 - Final deadline for ALL vendor applications
 
Monday, August 25, 2025 - These documents and instructions will be sent to you per your acceptance into the festival.
     
     - Health Permit applications (food vendors only)
     - Business License Information (food and retail vendors only)
 
 
RULES AND REGULATIONS FOR VENDORS:

1.  Applications will be accepted on a first-come, first-served basis including returning vendors. Your application will not be eligible for acceptance if not complete and accompanied by payment.

2.  Applications will be approved by the Virginia Pride board and Three One One Productions.

3.  Completed vendor applications and fees for all vendors are due by August 15, 2025 at 11:59pm. If the festival becomes full, application portal may shut down prior to this date.

4.  FOOD VENDORS will need to provide their own cooking equipment (gas grills and ovens permitted). All Food Trucks will be spot checked by VA Fire Marshall office so will need to be permitted and current in all the requirements to vendo that day. If you are found not current, they will not let you vend.

5.  ALL vendors are responsible for all sales and tax compliance.

6.  Vendors MUST remain open during festival hours.

7.  Vendors MUST arrive during the time allotted for set-up.  

8.  FOOD VENDORS - MUST be ready to serve 30 minutes minimum prior to the start of the event for health inspections.

9.  ALL VENDORS must check in with the VENDOR COORDINATOR or vendor staff members upon arriving at the event.  Check in location will be forwarded to you in an email prior to the event.  All set-up MUST be completed 30 minutes prior to the event starting or space will be forfeited.  

10.  BREAKDOWN - begins once the event is over and MUST be completed within 1 1/2 hours in order to start street cleaning.  Failure to complete breakdown in a timely manner may result in a fine.  Ending time/deadline to breakdown your booth will be provided at a later date.

11.  Security will be provided at the event.  However, the festival committee and its organizers will not be responsible for injuries, losses or damage of any kind.

12.  Festival will commence regardless of the weather.  THIS EVENT IS RAIN OR SHINE.  If a date change is required due to dangerous conditions as determined by event committee and police, you will be notified as soon as possible.

13.  Your staff MUST be scheduled for the entire festival.

14.  All tables MUST be skirted or draped.
 
15.  Sodas/Water/Ice will not be distributed and/or sold by the festival to vendors.

16.  No products bearing the name "Virginia Pride" OR ITS LIKENESS will be allowed to be sold other than by Virginia Pride without prior written permission from Three One One Productions or Virginia Pride.
 
17.  In the unlikely event your vendor application is not approved, your vendor fee payment will be refunded within 30 days of notification from the Vendor Coordinator.
